Getting Started with CRM Spreadsheet Templates
Learn how to set up your first CRM using Google Sheets templates to track leads, manage clients, and close more deals — no software subscription needed.
Managing your sales pipeline doesn’t require expensive software. A well-designed spreadsheet CRM handles everything from lead tracking to deal closing — and the right template makes setup a matter of minutes.
What You’ll Need
- A Google account (free)
- 15 minutes to configure
- Your existing contact list (optional)
Step 1: Copy the Template
After purchase, you’ll receive a link to copy the template to your Google Drive. Click File → Make a Copy to get your own editable version. The original stays intact — your copy is yours to customize.
Step 2: Customize Your Pipeline Stages
The template ships with default stages: Lead → Qualified → Proposal → Won / Lost. Open the Settings sheet and replace these with whatever matches your actual sales process. Changes propagate automatically across the dashboard.
Step 3: Import Your Existing Contacts
If you’re migrating from another CRM or a plain spreadsheet, you can paste your contacts directly into the Contacts sheet. Stick to the column format defined in the header row — the dashboard formulas depend on it.
Tips for Getting the Most Out of Your CRM
Log every touchpoint. The Activity Log sheet keeps a timestamped record of calls, emails, and meetings. A quick row per interaction takes 10 seconds and saves you from “wait, did I follow up with this person?” moments.
Use the Dashboard daily. The built-in dashboard shows your pipeline value, deal count by stage, and conversion rate — updated in real time. Make it your browser’s startup tab.
Set Google Sheets notification rules. Go to Tools → Notification rules to get email alerts when specific cells change. Useful for shared pipelines where a team member might close a deal you’re watching.
